The opportunity
The Parts Coordinator plays a vital role in managing procurement activities, supporting the efficient and cost-effective acquisition of goods and services. This role ensures the smooth processing of purchase orders, vendor communication, and accurate documentation. The Parts Coordinator will be a key team member supporting the Finance and Operations team across North America.
The Parts Coordinator will assist the Parts Manager in monitoring inventories, processing orders, and maintaining vendor relationships, while being detail-oriented, data-driven, and with a strong sense of urgency.
A snapshot of what you will be doing here:
Maintain accurate inventory records to ensure proper stock control and system integrity.
Monitor and track all stock levels within the operating system to support operational needs.
Conduct weekly cycle counts and reconcile discrepancies in the system.
Order, receive, and properly process parts to maintain adequate inventory levels.
Distribute parts to technicians in alignment with the preventive maintenance and repair schedule.
Research and source parts as needed to minimize downtime and support timely repairs.
Provide regular updates to the Workshop Manager regarding pending, backordered, or delayed parts.
Review vendor invoices to verify pricing accuracy and ensure correct billing for received items.
Ensure accurate labeling of inventory and maintain fixed bin locations to promote organization and efficiency.
Generate purchase orders for the workshop as needed in emergency situations.
Background in inventory management systems (SAP Preferred) is a must.
Coordinate inventory management across multiple business units in one location -both GSE and Catering Trucks.
Ability to function in a fast-paced business environment, balancing multiple tasks.
Who we are looking for someone who:
Proven experience of 3-5 years in purchasing or procurement, ideally in the maintenance industry. Has strong analytical and project management skills.
A proactive, data-driven mindset with a strong sense of urgency and attention to details to meet deadlines and resolve issues quickly.
Demonstrates independence and self-initiation, exhibiting good judgment and strong decision-making skills in navigating complex supply chain scenarios.
Has proven track record in process improvement.
Is fluent in English – both spoken and written.
Strong organizational skills with keen attention to detail and the ability to handle multiple tasks simultaneously.
Knowledge of SAP preferred, and Microsoft Office Suite.

The pay range for this position is $60,000-65,000 based on experience and qualifications.
